UIT DOC Member Expectations and Responsibilities

The UIT Department Operations Center (DOC) coordinates cross-functional response activities during significant service disruptions and operational events.

Membership in the UIT DOC indicates your role, expertise, or organizational representation may be needed during active incident coordination.

Initial Engagement Expectations

When a UIT DOC activation notification is issued, members are expected to:

  • Review the activation notice promptly
  • Join the designated collaboration bridge (typically Zoom)
  • Participate in the initial scope and situational awareness discussion
  • Help identify impacted areas and operational needs

Why Initial Participation Matters

  • Establish shared situational awareness
  • Identify service or operational impacts
  • Coordinate response activities
  • Assign event support roles as needed

Initial participation helps establish operational awareness and determine which teams or individuals are needed for ongoing coordination. Members not needed for ongoing active coordination may leave the bridge after initial review and are encouraged to monitor #uititoc-live for ongoing updates.

Communication & Notification Readiness

UIT DOC members are expected to maintain access to UIT collaboration and communication tools:

  • Zoom
  • Slack: Your membership to these private channels are provisioned by IT Resilience when you are added to the UIT DOC members list.

    • # uit-doc-activation
  • WebEx

Because DOC activations may occur outside normal business hours, members should configure mobile devices to allow urgent DOC notifications to bypass Focus or Do Not Disturb settings when possible.

DOC notifications may be delivered through: 

  • Stanford email
  • Phone call (mobile or office line)
  • SMS/text message

Quarterly notification testing is conducted to validate readiness. Members are expected to confirm receipt during testing activities.

Active DOC Participation

During active DOC operations, members may be asked to: 

  • Support restoration coordination activities
  • Provide subject matter expertise
  • Assist operational decision-making
  • Support communications development and dissemination
  • Coordinate with partner teams and leadership groups

Communication Boundaries & Confidentiality

  • DOC communication channels are designated for internal UIT operational coordination only.
  • Information shared during DOC activations may contain sensitive operational details and should only be shared through approved communication pathways.
