How to Check Your My Drive and Shared Drives Usage

 If you use the collaboration apps in the Stanford Google Workspace — My Drive, shared drive, or Gmail— it's always a best practice to be mindful of your storage. This is especially true if you know your usage is nearing the university’s storage limit.

First step: Sign into your Stanford Google Account

Before you follow the steps below, be sure you are signed into your Stanford University Google Workspace account. Refer to How to Log in to Google Workspace for instructions.

Check storage in Google My Drive

  • Google offers tools to help you quickly view and manage your storage use.
  • Go to https://drive.google.com/settings/storage to see a breakdown of your storage use from Drive, Gmail, and Photos.
  • Check Drive’s Quota Usage to view a list of files sorted by usage. This list applies only to the files that you own that are stored in your My Drive.

Check storage in shared drives

What (and doesn’t) count towards storage?

  • Most files, including Google file types (Docs, Sheets, and Slides), PDFs, images, and videos count towards the storage limit where they are stored.
  • Items stored in Trash do count towards the storage limit until they’re permanently deleted.
  • Storage used in shared drives doesn’t count against your individual storage limit.
