Google Gemini
This service provides access to the Gemini web app. This doesn't include the paid Google AI Pro for Education add-on (also known as "Gemini for Workspace"), which integrates AI directly into apps like Gmail, Docs, or Sheets. That service is not currently licensed by Stanford.
The Gemini app is a web-based, conversational AI assistant available to you through Stanford's Google Workspace suite. Designed to be multimodal, it can understand and reason across different types (or modes) of data simultaneously. These modes include text, images, audio, and more.
To understand more about what Gemini is and how it works, read An overview of the Gemini app, available on Google's site.

Data security
As a generative AI service, Gemini App requires the highest level of caution. Therefore, its use is restricted to protect university and personal information.
- This service is approved for Low Risk and Moderate Data ONLY.
- Gemini may not be used to transmit or store High Risk Data, as defined by the Information Security Office.
Do not input High Risk Data into Gemini prompts. Your prompts and conversations should contain only publicly available or non-sensitive information. This is a critical security requirement. Prohibited data includes, but is not limited to:
- Any confidential or proprietary university information Protected Health Information (PHI)
- Personally Identifiable Information (PII)
- Code or software intended for a patent application
- Any information you are not authorized to share publicly.
Treat all conversations with Gemini as public. Do not assume privacy for any information you provide.
- Always consider responsible AI best practices.
- To learn more, refer to Google's Generative AI in Google Workspace Privacy Hub.
Retention policy
Your Stanford University chats are automatically deleted 18 months after they are created. Once a chat is deleted, it is purged from our system and cannot be recovered. You will not be able to manually delete an individual chat or clear your entire chat history. For non-work related chats where privacy is a concern, we recommend using a personal account. See Gemini App: Chat Deletion and Retention Policies.
Unable to "Add from Drive"
The option to "Add from Drive" directly into the Gemini app is currently disabled due to data privacy and security concerns. To learn more, refer to Gemini App: Unable to "Add from Drive".

Please note:
- Currently paid versions and features cannot be purchased for use with a Stanford account due to Google's licensing policies. This includes Google AI Pro for Education, an add-on that integrates AI integration directly into Gmail, Docs, Sheets, and Slides, and advanced capabilities in Gemini and NotebookLM Plus. Our team is working with Google to find solutions in the future.
While Stanford University provides access to the standalone Gemini App, the integrated Gemini for Workspace features (AI features embedded directly within Google Docs, Sheets, Slides, and Gmail) are currently disabled for all Stanford Google Workspace accounts due to data privacy and compliance concerns. To learn more, refer to Gemini in Workspace apps: Feature access (Docs, Drive, GMail, Cal, Chat, Studio).
