Picture This: Use Your ID Card Photo in StanfordWho

Friday, April 10, 2020

If you’re Stanford faculty or staff, you can now publish your Stanford ID photo in the StanfordWho directory — so those who you work and collaborate with can see what you look like. And if this reminds you it’s time to update your ID card image, you can easily do so online.

Of course, you’re still in complete control when it comes to how your Stanford ID photo displays in StanfordWho. Simply log into StanfordYou to set your image visibility setting and you can keep the photo private, share it with Stanford colleagues only, or make it public.

What’s changing?

Previously, the photos that appeared in StanfordWho came only from images uploaded in Stanford Profiles (formerly known as the CAP Network), a virtual resource for the Stanford community. With the change, if you are a Stanford faculty or staff member, you now have the option to use your Stanford ID photo in StanfordWho. (You can still use your Stanford Profiles photo in StanfordWho, if you prefer.)

How to control which image displays in StanfordWho

Faculty and staff members can set their Stanford ID card image visibility setting in StanfordYou to control which image displays in StanfordWho. "Private" is the default Stanford ID card image visibility setting for staff and faculty members. Therefore, no photo will appear in StanfordWho unless you’ve changed the image visibility setting or uploaded a photo in Stanford Profiles.

Here's how to control which photo displays in StanfordWho:

How the new process works

Each night, University IT will send images with a visibility setting of Stanford or Public to StanfordWho. Depending upon the image visibility settings, these images will then display in the Stanford and/or Public view(s) of the StanfordWho directory.

Why we’re making this change

Enabling staff and faculty to use Stanford ID card photos will encourage more Stanford community members to display a photo in StanfordWho. This, in turn, will make it easier for people to become familiar with the names and faces of their colleagues to further enhance collaboration.

Keep systems aligned

To keep the systems aligned, we strongly encourage you to upload the same photo you’ve uploaded in Stanford Profiles to your Stanford ID card. Just keep in mind any photo you submit for your ID card must meet certain requirements, which are listed on the ID card photo submission webpage. If you would like to upload an image to or update your Stanford Profile, simply navigate to profiles.stanford.edu, and click on the "Edit My Profile" option in the upper right side of the page.
