During Phase 1 of the ACT initiative, the focus was on using Microsoft 365 applications to foster collaboration across the affiliates. In Phase 2, the focus shifts to facilitating collaboration through Google Workspace.
Google Workspace is the preferred option for file storage and collaboration across Stanford University. However, Stanford Medicine is shifting primarily to Microsoft 365 for file storage and collaboration. Consequently, individuals in the School of Medicine currently have access to Google Workspace, Microsoft 365, and even Medicine Box. The goal of this phase is not to replace the Microsoft 365 storage at the Stanford hospitals, but to allow Stanford hospitals to access files within the university's Google Workspace environment securely.
Today, collaboration involves those in the School of Medicine granting their colleagues access to files stored in Stanford University Google Workspace, which poses several challenges:
- The hospital’s security model is not enforced when hospital employees are provided access to data in the university’s Google Workspace.
- The user experience across affiliates may be inconsistent and confusing when accessing and managing information.
- Hospital users are not always able to access Google from their hospital accounts.
- Managing access to data from cross-affiliate is complex and requires significant overhead and administrative effort.
The goal of this initiative is to design a seamless, secure, and cost-efficient solution that allows everyone in Stanford Medicine to collaborate together effectively in Google Workspace.
