Facility Rentals Policy

  1. Technology Training allows university organizations to use classroom facilities for their events/sessions for a fee. Rental fees cover the cost of facility maintenance, computing equipment, software licenses, A/V equipment, and ongoing support. All rental requests must include a Project-Task-Award (PTA) number.

    Rental fees may be waived if the purpose of the events/sessions meets all of the criteria below:

    • Events/sessions are scheduled on a regular basis;
    • Events/sessions provide technical outreach and awareness for students, staff, faculty either collectively or to ALL students, ALL staff or ALL faculty;
    • Sessions address technologies that are already in production on the campus. Sessions for new technologies must be funded through project funds.

    If the above criteria are met, contact Technology Training by submitting a Help Ticket to receive a PTA number that will waive your rental fees.

  2. Priority is given to university Administrative Applications training and Technology Training courses. After these classes are scheduled each quarter, rental requests are fulfilled on a first-come, first-served basis.

  3. All rental requests must be submitted through the Technology Training website.

  4. Rental fees are calculated on an hourly basis with a minimum commitment of 2 hours or 4 hours, depending on the specific room reserved in the reservation request.

  5. Cancellations must be received seven calendar days in advance of the scheduled reservation to avoid a cancellation fee; otherwise, the user will be charged the full reservation price.

  6. Access to Technology Training facilities complies with the the Americans with Disabilities Act (ADA). For any additional accessibility requests, please submit a Help Ticket prior to submitting the reservation.

  7. A reservation includes an optional orientation and one hour of technical support. If additional technical support is required, additional fees will apply. Please notify Technology Training at least five business days prior to the event via a Help Ticket if additional technical support is needed.

  8. Limited food and drinks are allowed in the computer labs.

    • All labs: Capped water bottles and spill-proof travel cups only.
    • Turing Auditorium only: food and drink. The room must be left clean or a cleaning fee will be charged to your PTA account.
