Cvent Rate Changes for FY27

Beginning Sept. 1, 2026, service pricing and available service tiers will be updated for Cvent, Stanford's event management platform provided by University IT (UIT). These changes will help us continue providing reliable Cvent support and event services to the Stanford community.

New service tiers and rates

Single licenses are now available in six-month and 12-month terms. The four-month and eight-month options are being retired. This structure better reflects the time users need to set up their events in Cvent.

Here's a quick look at all the new rates:

• 12-month (single license): $2,053
• Six-month (single license): $1,026.50
• Contracted single basic event build: $300
• Per-attendee fee (after 100 attendees): $4 per attendee
• Events with a registration fee will incur a 2.5% transaction fee.

To keep licenses affordable, events with 100 or fewer attendees are fully covered by your license (not including registration payment fees). Beyond 100 attendees, the $4 per-attendee fee applies. This fee will apply to all events–free, paid, built with your Cvent license, or a contracted build by the UIT Cvent team.

For events collecting registration payments, PCI and merchant fees also still apply. These fees cover the costs associated with credit card processing and compliance standards.

Who this affects

For new users, the updated rates apply starting Sept. 1, 2026. For existing users, the new rates take effect at your next renewal.

Groups will transition together. If you're part of a user group with staggered renewal dates, your group moves to the new rates only when the last member comes up for renewal, so everyone pays the same rates at the same time.
