Managing Project End Dates Protocol

TO: University IT Managers and Project Managers

FROM: UIT Project Management Office

SUBJECT: New Protocol -  Changes to Project End Dates

Colleagues,

The UIT Project Management Office is constantly working to refine our use of ServiceNow PPM to enhance project and portfolio management across UIT.  As our understanding of the tool evolves, we continue to identify areas where gains may be realized by standardizing particular processes.

One such process involves formalizing changes to anticipated project end dates. Visibility into these changes across the UIT portfolio enables senior management to make better decisions around resource allocation and shifting priorities across the organization.

Managing Project End Date Changes: New Process

The PMO has defined a simple protocol to formally report and track changes to project end dates as the need arises in the course of project execution. The process uses PPM’s built in “Change Request” function, and provides visibility into the changes via a report on the UIT Projects Dashboard.

Details about the protocol, along with a link to a job aid with specific instructions, may be found in the Google doc Managing Project End Date Changes.

The document is also linked from the Training & Documentation page of the Project Portfolio Management Program website (https://uitcommunity.stanford.edu/ppm).

Project managers across UIT are asked to follow this protocol to manage project end date changes effective immediately. Please contact Ollie Hamilton or me  if you have questions about the process.

Thank you,

Lydia Barrett
