Status Reporting Updates; New "Planned Go-Live" Field

Colleagues,

The UIT PMO is constantly working to refine and improve PPM project management processes for all of University IT. Please see the latest system and process updates below:

  1. Status Report Frequency Reduced to Twice per Month
    Effective immediately, rather than being required weekly, project status reports are now required only on the 15th and the 30th or 31st of each month.  If those dates fall on a weekend or holiday, the report must be submitted the Friday prior.
  2. “Planned Go-Live Date” Field Now Active in PPM
    Go-Live is a critical milestone for nearly all IT projects, of great interest to project sponsors and stakeholders. In most cases, however, Go-Live does not coincide with the end of project work. Fields for both “Planned End Date” and “Actual End Date” already existed in PPM project records, but we are pleased to announce that the Planned Go-Live Date field is now live in PPM.

    Please update this field for your projects at your earliest possible convenience:

  3. Status Report View for Stakeholders without ServiceNow Licenses
    Access to the UIT Projects Dashboard currently is available only to those who hold a ServiceNow license. Now, however, the PPM Team is pleased to announce the availability of a portal where anyone with a SUNet ID may view the latest status report for any project in the UIT Portfolio. Project stakeholders may be directed to the following URL to search for and view that status of any projects of interest to them:

    https://stanford.service-now.com/project_status_home

    Note also that project managers may share the URL from the portal for a particular project’s status report directly with Stakeholders. This will reduce the effort some project managers frequently make to replicate update information in various locations.
